Organizations let teams share access to the same MapleDeploy servers and subscriptions. Servers, billing, trial eligibility, and members belong to the organization, not only to the person who created the first account.

When you create a MapleDeploy account, we create a personal organization for you and make you the owner. If you create an account from an invitation link, your account joins the inviting organization instead.

## Roles

Organizations have three roles:

- **Owner:** The primary administrator for the organization.
- **Admin:** A trusted teammate who can manage most organization and server operations.
- **Member:** A read-oriented teammate who can view organization servers, member lists, snapshots, and MapleDeploy billing summaries, but cannot create paid resources, change servers, manage billing, or manage organization membership.

## Permissions

This table describes organization permissions.

## Invitations

Owners and admins can invite teammates from **Settings** > **Organization**.

1. Enter the teammate's email address.
2. Choose **Member** or **Admin**.
3. Send the invitation.

The recipient gets an email with a link to join the organization. The invitation is tied to that email address, so the recipient must sign in or create an account with the same address.

Invitations expire after 7 days. Sending a new invitation to the same email address cancels the previous pending invitation and creates a fresh link.

### Accepting an invitation

If you already have a MapleDeploy account and it already belongs to the inviting organization:

1. Open the invitation link.
2. Sign in if needed.
3. Review the organization and role.
4. Accept or decline the invitation.

If your existing account belongs to a different organization, contact support before accepting the invitation.

If you do not have a MapleDeploy account:

1. Open the invitation link.
2. Choose **Create account**.
3. Create the account with the invited email address.
4. Return to the invitation page and finish joining the organization.

The new account joins the inviting organization directly.

### Declining or canceling

Recipients can decline invitations from the invitation page. Owners and admins can cancel pending invitations from **Settings** > **Organization**.

Accepted, rejected, canceled, and expired invitations cannot be used to join an organization.

## Billing

Billing is organization-owned. Each organization has one billing profile, and each server has its own subscription. See [plans and pricing](/#pricing) for plan pricing and trial details.

The Billing tab shows active organization subscriptions and the saved payment method summary to all organization members. This is a MapleDeploy summary only. Members cannot open Stripe invoices, edit payment details, or update the billing contact.

From **Settings** > **Billing**, owners and admins can:

- View active subscriptions by server.
- See subscription status, plan, monthly price, and next billing date.
- Cancel eligible subscriptions if you are an owner or admin.
- Open the Stripe billing portal when a card is on file.

The Stripe billing portal is used to view invoices, billing history, payment methods, and billing contact details. Card data is handled by Stripe and is not stored by MapleDeploy.

### Trials

Trial eligibility belongs to the organization, not the individual user. Starter and Pro include a 30-day free trial when the organization has not already used a trial. Ultra plans do not include a trial.

If an owner or admin creates another server in the same organization, that server uses the organization's trial eligibility and billing profile.

## Common workflows

### Create your organization

1. Create a MapleDeploy account.
2. Enter an organization name during signup, or leave it blank.
3. MapleDeploy creates your organization and assigns you the Owner role.

If you leave the organization name blank, MapleDeploy creates a personal workspace name from your account name.

### Invite a teammate

1. Go to **Settings** > **Organization**.
2. In **Invitations**, enter the teammate's email address.
3. Choose **Member** for read access or **Admin** for trusted management access.
4. Select **Send invitation**.

Use Admin only for people you trust to create, update, upgrade, or cancel servers, manage invitations, remove members, and use billing self-service. Members are read-oriented and cannot create paid resources.

### Re-send an invitation

1. Go to **Settings** > **Organization**.
2. Send a new invitation to the same email address.

MapleDeploy cancels the previous pending invitation and sends a fresh link.

### Cancel an invitation

1. Go to **Settings** > **Organization**.
2. Find the invitation under **Pending invitations**.
3. Select **Cancel**.

The old invitation link stops working immediately.

### Change a member's role

1. Sign in as an owner or admin.
2. Go to **Settings** > **Organization**.
3. Find the member in **Members**.
4. Change the role to **Admin** or **Member**.

Role changes are available to owners and admins.

### Remove a member

1. Go to **Settings** > **Organization**.
2. Find the member in **Members**.
3. Select **Remove**.

Owners and admins can remove admins or members.

### Review billing

1. Go to **Settings** > **Billing**.
2. Review the organization's subscriptions.
3. If you are an owner or admin, select **Manage billing** to open the Stripe portal.

Owners and admins use the Stripe portal for invoices, payment methods, and billing contact details. Members can view the MapleDeploy billing summary only.

### Cancel a server subscription

1. Sign in as an owner or admin.
2. Go to **Settings** > **Billing**.
3. Find the server subscription.
4. Select **Cancel**.
5. Confirm the cancellation.

Canceling a server subscription terminates the managed VM and stops future billing for that server.
